Directors interim board in newsletter.
Key Dates & Process of Electing Board
- full publicity and membership drive, where only members vote in board at August meeting. (Iain MacKinnon) – how can we decide on principal resident for membership, define full time and who does that? Definition is decided by board.
- Key dates for membership drive – now till show. Wed 23rd August – Secret ballot for directors. Agreed by all.
Membership
- full (only these can vote), associate and youth. Include everyone to become involved but only full members can vote – Agreed.
- Not to tackle youth and associate membership till proper board of directors are in place.
- (Clare Jones) – full membership definition? – Electoral role 18+ as only democratic way plus school role 16-18s plus school leavers – Agreed.
- Set up a register of interested people
- Nominate 2 reserved places for non-directors on board
- School run election for 2 non-directors on the board. Vote 23rd august as well? Action – Mark Jennison contact Myra MacArthur.
- Set up a new mail merge with households on electoral role only. Send forms with spaces for 4-5 people to register as members. Line on form explaining that have to be on electoral role. Check all forms against electoral role when returned. Option – to pay membership fee by standing order or just each year. Send standing order forms out with membership forms. Trust newsletter to be included with membership forms.
- Check to see if can remove membership fee. Action – Jane.
- Land fair and show day – copy of electoral role passed round to get people not already signed up to do so. Agreed.
- (William Angus) What is not an acceptable number of members before ballot of proper directors? What is an acceptable number of members on night of ballot? Agreed – not to set figure but aspiration of 100.
- Dates – 21 days notice before meeting on 23rd August = 1st August Meeting Notice and Ballot papers sent out. 22nd August – Ballot papers must be returned. 27th July – last day for nomination of board.
Commercial Confidentiality and Declaration of Interests
- when dealing with issues of confidentiality, have closed meetings. All info is given to Trust directors. Confidential info is covered in broad terms in meetings rather than details.
Approval of Energy Company Board
- Approved interim energy co board of directors – Bruce Kemp, Ian Tainsh, Mark Beese, Myra MacArthur, Steve Thomson, Iain MacDonald, Angus John MacKechnie.
Newsletter
- put list of interim board members and phone numbers on newsletter
- Agreed everyday name i.e. The Tiree Trust on newsletter
- Agreed to post out with directors seeing it again
- Address the envelope to those on electoral role in each house.
Projects
- prioritise projects after board is properly elected
- another meeting to be held to give info on projects and bring up to speed but not any decision making.
Agency Support
- Agreed to keep agencies close and invite to meetings.
Election of Interim Office Bearers
- George Campbell – agreed to be an interim director (send forms out to him)
- Chair – Iain Mackinnon. Agreed.
- Treasurer – William Angus. Agreed.

- set up a procurement strategy
